Description

Summary: Provides administrative support to facilitate the planning and coordinating of activities for a designated project. This position will require someone who takes the initiative, assists on-site construction staff with office equipment and other materials and learns and consistently uses time keeping and data maintenance software. This position is located directly on a jobsite within an office trailer and the hours will be determined by project needs. Applicant must be able to pass a City of Atlanta ten year background check.

Location: Hartsfield- Jackson Atlanta International Airport 

Work Environment: Employee may be required to wear hardhat and safety glasses and will be required to observe safety procedures at job site. The noise level in the work environment is usually loud outside the site office.

Shift: Typically 6:30 AM -3:30PM or 7:30AM -4:30PM
Type: Onsite

Essential Duties and Responsibilities may include but are not limited to the ability to:

  • Respond to requests for service and assistance from Contract Manager, clients, and superintendent
  • Prepare, issue, and send out receipts, bills, policies, invoices, statements, and checks
  • Manage RFI Program
  • Assist construction site staff with office equipment and materials.
  • Prepare and transmit daily field labor reports
  • Perform general office duties such as making copies, document control, processing mail, and answering phones.
  • Oversee and process day-to-day administrative items such as expense reports, supply requisitions, personnel transaction forms, budgets.
  • Update project /delivery schedules, reports, change orders and documents based on revisions and changes to the project.
  • Keep project meeting and appointment schedules to ensure all meetings and reports are properly addressed
  • Manage submittal program
  • Manage safety documents
  • Manage SIDA Badge Program and Fleet vehicle permits
  • Process pay applications. Notary stamp will be required within ninety days after hiring orientation. 
  • Respond to the City of Atlanta Payment Audits. Training will be conducted by the City of Atlanta’s Office of Contractor Compliance.
  • Manage Administrative Assistants who will have similar project responsibilities.

Qualifications

  • High school diploma or general education degree (GED) required
  • A minimum of six months of experience in an Administrative role required
  • Construction experience and familiarity with contracts preferred
  • Ability to remain professional and diplomatic in stressful situations
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
  • Ability to write routine reports and correspondence.
  • Exceptional written and verbal communication skills
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Experience using and manipulating spreadsheets in Microsoft Excel and expert in using Microsoft Word.
  • Ability to prioritize and multi-task
  • Ability to interact with field construction employees
