Summary: 

Essential Duties and Responsibilities include the following, but are not limited to:

  • Assist with preparing weekly payroll for CEC by importing time clock data to Dynamics and prepare reports for jobsite approval.
  • Check federal and state taxes on a daily basis and make necessary tax deposits as required for all companies as mandated.
  • Process monthly union reports, prepare Accounts Payable vouchers and distribute union reports by monthly deadlines.
  • Assist Payroll Associate with data entry for new hires and personnel file creation.
  • Process month/quarter/year end reporting, internally and externally (including, but not limited to all withholding, unemployment, 940 and 941 reporting requirements for CEC and MAD).
  • Perform month, quarter and year end close within the payroll department, ensuring balance with the general ledger and payroll accounts.
  • Update and maintain union and tax information including wage and benefit rates for unions. 
  • Respond as necessary to any Department of Labor requests received and return in a timely manner.  Participate in appeal hearings as needed by phone and in person.
  • Process and distribute required weekly certified payroll reports.
  • Assist Payroll Associate with set up and processing of garnishment, child support and tax levy payments.
  • Analyze payroll problems, determine corrective action, and implement solutions.  Respond to inquiries, problems and requests for information from internal and external sources.
  • Switchboard duties as assigned.
  • Office filing.
  • Assist Payroll Specialist – Operations as needed.
  • Other duties as assigned.

Qualifications

Education and/or Experience- High School Diploma.  Bachelor’s degree from four-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience.   

  • Language Skills- Ability to read and comprehend simple instructions, interpret general business periodicals and governmental regulations.  Ability to effectively present information and respond to questions from groups of managers, clients, customers and general public. 
  • Mathematical Skills- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.  Ability to compute rate, ratio and percent and to draw and interpret bar graphs.
  • Reasoning Ability- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral or schedule form.
  • Computer Skills- To perform this job successfully, an individual should have knowledge of word processing software, Excel and Microsoft Outlook.

Other Qualification

  • Previous experience with automated payroll.
  • Construction payroll and union reporting preferred.
  • Strong knowledge of Excel spreadsheets and Microsoft Word.
  • Microsoft Dynamics experience is a plus.
  • Excellent oral and written communication skills.
  • Ability to work well under time deadlines.
