About the Role:
As the Executive Assistant, you'll play a pivotal role in supporting C-suite executives while managing front desk responsibilities. You'll provide high-level administrative support, including managing schedules, coordinating meetings, and handling sensitive information with confidentiality. Additionally, you'll warmly welcome visitors, manage incoming calls, and ensure efficient office operations. With a blend of executive assistance and receptionist duties, you'll excel in multitasking, organization, and professionalism. Your ability to prioritize tasks, adapt to changing needs, and maintain a polished demeanor will be essential in this dynamic role.


In this Role You Will:

Executive Assistant Functions

  • Support senior leadership (President, CFO, and COO) by producing documents and reports, managing outlook calendars as required, handling calls and messages during their absence or busy periods, and taking meeting notes as requested.
  • Assist senior leadership (President, CFO, and COO) with clerical duties and special projects as requested.
  • Perform general duties for senior leadership (President, CFO, COO) such as typing documents, creating reports, making copies, filing documents, processing mail, and answering phones.
  • Schedule and prepare meetings for senior leadership (President, CFO, and COO), including lunch-and-learns and board meetings, ensuring proper setup of facilities and ordering meals as instructed.

Receptionist Functions

  • Warmly greet and assist callers with professionalism, transferring them to the right person or taking messages efficiently.
  • Manage after-hours voicemail messages and ensure timely distribution.
  • Welcome visitors, manage badges, and regulate access to our office space.
  • Keep track of employee key cards and office access for multiple locations.
  • Organize incoming mail and packages, notifying recipients promptly.
  • Maintain switchboard and mail guidelines for smooth operations.
  • Update and manage contact lists and directories for easy communication.
  • Maintain the daily pantry stocking on the 8th floor.
  • Support various departments with clerical tasks and special projects when possible.

Education/Experience:

  • High school diploma or equivalent education, with related experience preferred.
  • Proficiency in reading and understanding simple instructions and correspondence, and capable of writing basic correspondence. Ability to effectively communicate information in one-on-one and small group settings.
  • Strong mathematical skills including addition, subtraction, multiplication, and division. Capable of computing rates, ratios, and percentages, as well as interpreting bar graphs.
  • Aptitude for applying common sense to follow written, oral, and diagram instructions, and adept at problem-solving in standardized situations.
  • Proficiency in Spreadsheet and Word Processing software.
  • Ability to work independently with minimal supervision.
  • Exhibit professionalism in verbal communication across all levels of interaction.
