Job Title: Administrative Assistant – Job Site (Plant Bowen in Cartersville, GA)
Reports To: Superintendent/Contract Manager
FLSA Status: Non-exempt (hourly)
Prepared By: HR Department
Rate of Pay: $16.00 - $17.00 per hour

Summary: Provides administrative support to facilitate the planning and coordinating of activities for a designated project.  This position will require someone who takes the initiative, assists on-site construction staff with office equipment and other materials and learns and consistently uses time keeping and data maintenance software.  This position is located directly on a job-site within an office trailer and the hours will be determined by project needs.  This is a temporary position that is expected to last for at least one year but is based on project needs.

 

            Essential Duties and Responsibilities may include but are not limited to the ability to:

  • Responds to requests for service and assistance from Contract Manager, clients, and superintendent.
  • Prepares, issues, and sends out receipts, bills, policies, invoices, statements, and checks.
  • Assists construction site staff with office equipment and materials.
  • Prepares and transmits daily field labor reports
  • Operates office machines such as computer, typewriter, adding, calculating, and duplicating machines in order to compile records and reports.
  • Performs general office duties such as making copies, filing documents, processing mail, and answering phones. 
  • Oversees and processes day-to-day administrative items such as expense reports, supply requisitions, personnel transaction forms, budgets.
  • Updates project /delivery schedules, reports, change orders and documents based on revisions and changes to the project. 
  • Keeps project meeting and appointment schedules to insure all meetings and reports are properly addressed.
  • Performs additional assignments per supervisor's direction.

 

            Supervisory Responsibilities                                                 

            This job has no supervisory responsibilities.

 

            Essential Qualifications

  • High school diploma or general education degree (GED) required. 
  • Six (6) months previous work experience as Administrative Assistant required.
  • Construction experience and familiarity with contracts preferred.
  • Must be courteous, professional, diplomatic, and keep emotions under control.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Position has continual contact with clients, management, and project staff in person and on the phone. 
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Experience using and manipulating spreadsheets in Microsoft Excel and expert in using Microsoft Word.

            Other Skills and Abilities

  • Ability to handle multiple tasks including follow-up details within strict deadlines and react well under pressure.
  • Ability to adapt to changes in the work environment, deal with frequent change, delays, or unexpected even; which may require flexibility with work schedule.                          

Physical Demands: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand; walk and stoop, kneel, crouch, or crawl. The employee is occasionally required to climb or balance. The employee must occasionally lift and/or move up to 25 pounds.
 

Work Environment: Employee may be required to wear hardhat and safety glasses and will be required to observe safety procedures at job site.  The noise level in the work environment is usually loud outside the site office.
